One-Touch Join (OTJ): trial, orderability and enablement

Pexip's One-Touch Join (OTJ) allows users to schedule a meeting in Microsoft Outlook or Google Calendar (self-hosted option only) and include in the invitation a meeting room with a supported Cisco or Poly videoconferencing endpoint, so that the endpoint in the chosen meeting room displays a Join button just before the meeting is scheduled to begin. Participants can then simply walk into the room and select the button, and the endpoint will automatically dial in to the meeting.

Deployment options

Pexip offers One-Touch Join in two ways: as an optional feature within the Pexip Service, or as an optional feature within the Pexip Infinity platform. In most cases, we recommend that Pexip Service customers use the One-Touch Join feature available on the service, as described here.

However, in some situations the Pexip Service One-Touch Join offering may not suffice, for example if:

  • the customer's deployment includes endpoints that are not supported by the Pexip Service's One-Touch Join feature
  • the customer uses Microsoft Exchange on-premises or Google Workspace as their calendar/email service
  • the customer does not want to install the One-Touch Join macro on their Cisco endpoints
  • the customer wants to keep meeting information within their organization.

In these situations the customer should deploy a Pexip Infinity instance dedicated to One-Touch Join. For more information, see Deploying a dedicated One-Touch Join platform.

This topic describes how service customers can order licenses for both One-Touch Join for the Pexip Service and One-Touch Join for Pexip Infinity.

License requirements

Endpoints used for One-Touch Join must be specifically licensed for OTJ. This is in addition to having an appropriate endpoint license, in order for the endpoint to be managed from within Pexip Control Center (PCC). However, endpoints used for OTJ don't need to be registered to the Pexip Service.

The types of licenses required depend your OTJ deployment environment, as follows:

Pexip Service One-Touch Join

If you are using the Pexip Service's OTJ offering, for each OTJ endpoint you need either:

  • One-Touch Join Room License Service: this provides OTJ capabilities for an endpoint device, and
  • an appropriate endpoint license.

Self-hosted One-Touch Join

If you are hosting your own Pexip Infinity instance to provide One-Touch Join, you need a license for the self-hosted instance as well as licenses for each endpoint, as follows:

  • One-Touch Join Room Enablement License: this licenses the Pexip software required to run a self-hosted Pexip OTJ instance

  • One-Touch Join Room License: this provides OTJ capabilities for an endpoint device, and
  • an appropriate endpoint license.

Enabling One-Touch Join for the Pexip Service for your customers is a case of completing the Microsoft domain verification process and then purchasing the required number of licenses via the Partner Portal. We also explain how to order more licenses, and how to renew licences.

Microsoft domain verification

Before customers can configure a One-Touch Join calendar provider, the customer administrator must set up a separate DNS TXT record for their Microsoft 365 domain (their tenant domain), and then you must complete the Microsoft domain verification process. When setting up the Microsoft 365 domain in the partner portal, the customer administrator should have received an email with instructions on how to do this.

Purchasing One-Touch Join licenses

  1. Select your customer and from the Purchasing tab select :

  2. Select the One-Touch Join Room License Service, and submit the order by following the standard orderability wizard:

A confirmation email is sent to the customer's contact person, and the created license is listed in the Purchasing > License Plans tab:

Ordering additional One-Touch Join licenses

  1. In the Purchasing > License Plans tab, select the One-Touch Join Room License Service license, click the Actions menu, and select Edit Plan:

  2. Set the new total number of licenses needed. Follow the standard orderability wizard to submit the order:

The license plan is updated with the new total licenses:

Renewing a One-Touch Join license

One-Touch Join licenses are renewed in the same way as any other the Pexip Service license. Full details are given in Managing license renewals.

Creating a One-Touch Join trial license

  1. Select your customer and when Evaluation mode is open, go to the Infinity Licenses tab and select :

  2. Fill in the license details form:

    Validity The license key validity is aligned to the evaluation end date.
    Cost center You can optionally choose from any predefined cost centers (set in the company edit form).
    Note An optional field for your own reference for this license key.
    License Distribution Select or add the email addresses for the Infinity activation code and installation guidance emails.
    OTJ The number of One-Touch Join licenses required (maximum 50 for each activation code during the trial).

  3. Click Next to create the license.

  4. A License Distribution email is sent to the defined addresses. Note that:

    • Customer link: available for the reseller only with Pexip Partner Portal login.
    • License-key details link: available for anyone with access to the URL.

    Here is an example email:

  5. The created license is listed in the Infinity Licenses tab.

  6. You can optionally:

    • Select Open to see more details of the Infinity activation code.

    • Click the wrench icon under Actions to either:

      • Edit: edit Cost Center or License Distribution receivers.
      • Re-send: re-send the License Distribution email to the defined receivers.
    • Use the button if the customer needs additional licenses during the trial period. Note that each activation code is limited to 50 licenses.

Note that:

  • Each Infinity activation code has a set and unchangeable expiry date per the evaluation end date. If the trial period is extended, new licenses must be created for the extended period.
  • If the evaluation mode is manually closed prior to the expiry date, the Infinity licenses are not impacted. The activation code expiry date is set when the license is created.

Ordering a One-Touch Join paid license

  1. Select your customer and from the Purchasing tab select :

  2. Select the Room Enablement License, which is a prerequisite to order the One-Touch Join Room Licenses:

  3. Submit the order by following the standard orderability wizard.
  4. After completing the Room Enablement License order process, select again.

  5. Select the One-Touch Join Room License, and submit the order by following the standard orderability wizard:

  6. Go to the Infinity Licenses tab:

  7. The number of available licenses is displayed. Select to create the Infinity activation code:

  8. Fill in the license details form:

    Validity The license key validity is aligned to the license plan start and end date.
    Cost center You can optionally choose from any predefined cost centers (set in the company edit form).
    Note An optional field for your own reference for this license key.
    License Distribution Select or add the email addresses for the Infinity activation code and installation guidance emails.
    OTJ The number of One-Touch Join licenses required (limited to the total number of licenses ordered).

Renewing an OTJ license

When it is time to renew an OTJ license:

  1. You (the Pexip Partner) will receive standard renewal notifications for license plans that include the One-Touch Join (OTJ) software license key.

  2. Follow the instructions in the renewal notification emails about how to renew the license.

    After confirming the renewal of a license plan that includes an OTJ license key:

    • The system automatically creates the license key for the renewed period and sends it in a separate email with the installation instructions. The email is sent to the same recipients used for the current license key distribution.

    • The new OTJ software license key is also available in the portal, under the Infinity Licenses tab.

    After confirming the renewal of a license plan that includes the One-Touch Join (OTJ) software license key, the License Management option is deactivated for this license plan, meaning there is no option to revert the renewal confirmation after the new software license key has been created.

  3. The customer should install the new license key prior to the activation date of the new license.
