Ordering model and policy
As a Pexip Service partner you are given access to the Pexip Partner Portal. This online tool is where you manage all your Pexip business, including customers (companies), trials and the purchasing of license plans.
Note that Pexip does not need a purchase order (PO) for anything that can be ordered in the Partner Portal.
Trials
All new customers created in the Partner Portal come with a time-limited, feature-unlimited free trial. You can choose a term of 15 or 30 days when you create the company, and extensions can be requested from your Pexip account manager. Prior to expiry, a license plan is purchased to avoid service deactivation. You cannot have trial User and Team VMR consumers alongside a paid license plan.
Subscriptions are deactivated when a trial expires, but can be easily reactivated for up to 30 days through the purchase of a paid license plan.

License plan start date and subscription activation
When ordering a new license plan you are offered some flexibility on the plan start date. Regardless of which date you select, licenses are available as soon as you submit your order.

Renewal cadence
When you buy a license plan, the renewal cadence of the plan is set by the payment plan you select.
- Monthly payment plans automatically align auto-renewal to the 1st of each month, regardless of when you order the plan.
- Annual plans automatically align renewal to the start date that you select for the plan, regardless of when you order the plan. So for example a one-year plan ordered on 3 November, but with a start date of 4 November, will be due for renewal on 4 November of the following year.
Pro-rating and co-termination
When you add licenses to an existing license plan, these are immediately billable. Furthermore, these new licenses are pro-rated into the term of the existing plan.
For example:
- You buy a one year prepay plan on 1 November, with 10 licenses, with start date 1 November.
- In the December billing run we bill you for 10 licenses x one year each.
- The following year, you add 5 licenses on 1 April.
- In the May billing run we bill you for 5 licenses x 7 months each.
- The 5 licenses are pro-rated from 1 April to 31 October.
In this way, all licenses purchased under the same product plan all terminate at the same time.
So regardless of how many licenses are purchased, when they were purchased or when they were assigned, the renewal date is the same for all licenses under the same product plan.
Renewals, reminders and expiry
Pexip's renewal, reminder and expiry policy is that:
- Monthly Prepay and Monthly Prepay with 12 Month Commit license plans are perpetual, which means that they automatically renew every month until canceled.
- All other plans require manual renewal in the Partner Portal.
- Renewal reminders are issued by email at 45, 30, 15 and 3 days before expiry.
- Subscriptions are deactivated when a license plan expires (at 23:59:59 UTC on the expiry date), but can be easily reactivated for up to 30 days through the purchase of a new paid license plan.
- If your customer no longer wants a service, you should set the license plan(s) to expire at the next renewal date. You can choose to discontinue (expire) a license plan at any time, but prepaid periods are not refunded.

Order cancellations
If you realize that your recently placed order was submitted at the wrong price or for the wrong product, the portal allows you to cancel and re-order, providing:
- the order was placed in the current calendar month
- it is more than 24 hours until the next billing cycle
- the order was not modified in any way after it was placed (to cancel a modified plan please contact bizops@pexip.com).
Please contact bizops@pexip.com If you need to cancel an order for CVI Service for MS Teams or Google Interop as these services cannot currently be canceled via the Partner Portal.

Billing
Orders placed in the Pexip Partner Portal are binding and will be invoiced to your organization at the next monthly billing cycle. For all prepay plans, all licenses are billable regardless of usage. Waiting to assign a purchased license does not delay its activation or billable date.
